How to write a digital download listing description buyers can understand

A useful digital listing description removes uncertainty about the files, sizes, software, delivery, permitted use, and limitations. Build the description from tested product facts, then delete every placeholder that does not apply.

1. Open with the exact digital product

Use the first one or two sentences to name the product, say whether it is an instant download or made-to-order digital item, and identify its primary format or use. If no physical item will be shipped, state that plainly.

Etsy says descriptions can contribute to search matching, but the opening should still sound natural. Include a relevant phrase only when it accurately describes the item; do not repeat the title or stack keywords.

  • Product type: printable planner, SVG cut file, Canva template, sewing pattern, digital invitation, or another exact format.
  • Delivery type: instant download or made to order.
  • Primary file format and size.
  • A clear statement that the offer is digital when no physical item is included.

2. List exactly what the buyer receives

Give the file count, file types, page or design count, dimensions, orientation, colour mode, and included versions where relevant. If a ZIP file contains several assets, describe what is inside instead of making the buyer guess.

Etsy currently allows up to five files per digital listing, with a maximum of 20 MB per file. Buyers see the uploaded file names, and Etsy says those names cannot be edited after upload, so use clear names and remove private or internal information before publishing.

  • Exact page, design, or asset count.
  • Dimensions in pixels, inches, millimetres, or another appropriate unit.
  • Resolution, orientation, colour mode, or cut settings when verified and relevant.
  • Which elements are editable and which are fixed.

3. Explain delivery without creating false expectations

For an instant download, explain that Etsy makes the files available after payment is confirmed. Etsy currently directs buyers to Purchases on Etsy.com and says digital purchases cannot be downloaded through the Etsy app, so buyers may need a mobile browser or computer.

For a made-to-order digital item, state what the buyer must provide, the verified completion time, and how the finished file will become available. Do not describe a made-to-order item as an immediate download.

  • Use one delivery explanation that matches the listing setting.
  • State any buyer input needed before work can begin.
  • Give only a completion time the seller can support.
  • Avoid promising delivery by email if the actual Etsy workflow is different.

4. State requirements, permitted use, and limits

Tell buyers what software, account, printer, cutting machine, font, or skill level they need. Name only versions and devices you have tested. For an editable template, explain what can be changed and whether any paid feature or third-party resource is required.

Licence terms are set by the seller, not generated by Etsy listing copy. State whether use is personal or commercial, whether modifications are allowed, and whether sharing or resale is prohibited—but publish only terms you have the rights and legal basis to offer. This guide is not legal advice.

  • Basic use, editing, printing, or cutting steps.
  • Known compatibility limits.
  • Personal-use or commercial-use scope.
  • Support contact and the information a buyer should provide when reporting a problem.

5. Run a digital-specific publishing check

Etsy distinguishes instant downloads from made-to-order downloads and does not currently support variations for digital listings. If the product includes several sizes or formats, describe the included files clearly rather than implying that a normal listing variation selector will be available.

Digital downloads offered on Etsy must comply with its Creativity Standards. Etsy currently permits sellers’ original digital designs and requires disclosure in the description when an item is created using seller-prompted AI. Test the final files and verify current rules before publishing.

  • The listing is set to Digital files and the correct delivery type.
  • Every instant-download file is attached, supported, no larger than the current limit, and named appropriately.
  • The description and images show the same file count, sizes, and formats.
  • The files open correctly and the instructions have been followed from a clean copy.
  • No unsupported variation, compatibility, licence, refund, or rights claim appears.
  • Applicable AI-use or other required disclosures are present.

This instant-download weekly planner includes two print-ready PDF files in A4 and US Letter sizes. It is designed for home printing, and no physical item will be shipped.

WHAT YOU RECEIVE — 1 A4 PDF and 1 US Letter PDF. Each file contains four undated pages: weekly overview, daily priorities, habit tracker, and notes.

HOW TO DOWNLOAD — After payment is confirmed, open Etsy.com in a browser, go to Purchases, and select Download Files. Etsy currently does not support downloading digital purchases through its app.

PRINTING — Open the PDF in a compatible reader and print at 100% or Actual Size. This example assumes both final files have been test-printed; a real seller must verify that before using this wording.

LICENSE — Personal use only. Do not share, redistribute, or resell the files. This is an illustrative seller-defined licence, not an Etsy-wide rule.

PLEASE NOTE — Screen and printer output can vary. Contact [shop name] with the order number, device, and a description of any file problem.

Common mistakes to avoid

Calling it a bundle without listing the contents

State the exact files, formats, dimensions, and asset count. “Full bundle” does not tell a buyer what arrives.

Hiding that the item is digital

Make the delivery type and absence of a physical shipment clear near the beginning.

Promising universal compatibility

Name only software, devices, printers, or machines that have been tested. State known requirements and limits.

Pasting generic licence or refund language

Confirm rights, Etsy settings, and applicable law. Do not treat a template as legal advice or an Etsy-wide policy.

Replace every placeholder and delete unused sections. Recheck Etsy’s current file limits, supported formats, delivery workflow, and policies. Never invent compatibility, licence rights, completion times, or refund rules.
